Color-coding your appointments in Outlook

When an appointment is assigned to you in Cozi, it will automatically appear in Outlook. This includes: a) appointments in Cozi just for you, b) appointments for you plus other family members, and c) appointments for the whole family (All). In Outlook, these family appointments from Cozi will be marked as “Busy” so that your coworkers will know you can’t meet at those times.

Example: Alice opens Cozi and adds an appointment for “Parent-Teacher” conference to the Cozi Calendar. She marks the appointment for her and her husband, Richard. Because she’s on the appointment, it will automatically appear in her Outlook calendar (and Richard’s, if he’s installed the Cozi Outlook Toolbar for his copy of Outlook, too).

Cozi automatically marks your Cozi appointments as “Private” in Outlook. Your coworkers will be able to see that you are busy at those times, but they will not be able to see the details of your family activities (unless they have been given special permission to do so or are marked as delegates on your calendar).

Example: Alice’s husband assigns a doctor appointment to her on their family’s Cozi Calendar. When Alice next opens her Outlook calendar at work, the Cozi appointment appears on her calendar as “Private.” She can see the details of the appointment, but her coworkers can see only that she is busy at that time. If she has a designated delegate to her calendar, that person will see that the appointment is a doctor’s appointment and any other details that have been entered on the appointment (such as location, etc.).

To change an appointment’s privacy status:

If you are using Outlook 2003: Open the appointment, clear the Private check box (at the bottom of the appointment), and then click Save and Close.

If you are using Outlook 2007: Open the appointment, and on the Appointment tab, in the Options group, click Private.
