Getting started with the shared family calendar

The Cozi Calendar helps you and your family members coordinate your daily activities: see who’s doing what each day, who is supposed to pick up whom from school, and so on. Before you can use the family calendar, you’ll need to tell Cozi a little about each of your family members (see "Telling Cozi about your family" in Getting Started).

From your Cozi home page, clicking anywhere on the calendar preview will bring you to the Cozi Calendar. 

 

Color coding

The color-coded names across the top of the page let you switch between the calendars for each family member. To see someone's calendar, click his or her name. To see what everyone is doing, click All.

You can tell who is involved in which appointments by the color-coding: your appointments will show up in one color, your spouse's appointments in a different color, and so on. There is also a color for "All," for when everyone in the family is involved in the event. Look at the colored dot next to each name to see who has what color. 

To choose different colors:

1. Start at your Cozi home page, locate the More area, and then click Settings.

2. Click Calendar options, and then click a colored dot for each family member.

3. Click Save, and then click Done.

Entering appointments

You can add an appointment to the family calendar by doing one of the following:

  • Type an appointment directly in the text box at the bottom of the calendar. This method lets you quickly enter an appointment using your own words. Type the appointment the way you would describe it in everyday language; for example, "Lunch, 12:00 tomorrow". Cozi will identify the date and time of the appointment and put it in the right place in the family calendar. Here are some more examples of "everyday language":

Ann: Tue 2:00 Meeting with realtor

Ann/John: Dinner out Friday at 8pm

2/14 Valentine's Day

Kate and Henry: Swimming Saturdays 10-12 until September

Kate: Preschool 9-12 every weekday ending August 20

Basketball practice 3:00-5:00 every Tuesday and Thursday

John's birthday every December 7

Book group Sundays at 5:00 pm ending after 6 times

Beach Trip next Saturday

Vacation every day starting tomorrow until Friday

Math test first Monday of each month

  • Scroll to the day you want, and then double-click that day. In the window that appears, enter as much information as you want, and then click Done

Tip:
If you type something that doesn't work as you expected, please let us know. Be sure to tell us what you typed, what you expected to happen, and what actually happened. Thank you!
Once you've created an appointment, you can change it by clicking on it and picking Edit from the pop-up menu. 

Coordinating schedules between family members

If you don't indicate who an appointment is for, Cozi assumes the appointment is for everybody in your family. The appointment will appear on the "All" calendar as well as on each person's calendar.

To tell Cozi that an appointment is for a specific person or persons, do one of the following:

  • When you type an appointment in the text box, start with a family member's name. Example: "Kate: Piano Practice 3-5 Mondays". You can enter multiple names like "Henry, Kate, and John" or "Ann/Kate".
  • Click an existing appointment get a pop-up menu, point to Choose People, and then click the names of the family members who will be attending.
  • Click an existing appointment to open the Edit appointment details page, select names in the Who field, and then click either Change this day only or Change going forward at the bottom of the page.

If you have an existing appointment on the family calendar that you want to hand off to your spouse or another adult, here’s a shortcut: click the appointment, and then click Hand off to. The appointment will no longer appear on your calendar, and it will be placed on your partner’s calendar.

Describing things you do every week (or month, etc.)

To enter an appointment that happens regularly (for example, a child's soccer practice), do one of the following:

  • Type the appointment directly in the text box at the bottom of the calendar. Type the appointment the way you would describe it in everyday language; for example, ȁCHenry: Saturdays 1-3 Soccer practice until 9/6ȁD. Cozi will identify the date and time of the appointment, and put it in the right place in the calendar.
  • Open an existing appointment. In the Occurs field, describe how often the appointment occurs. Examples: "Every week on Saturday", "Every week on Tuesday and Thursday". 

Getting reminders for appointments

Cozi reminds you of your upcoming appointments by showing them while the Cozi Collage is running. If you know that you'll be away from Cozi and would like a reminder, you can send appointments in email to another electronic calendar or to your mobile phone.

First, make sure you've entered email addresses and mobile phone numbers for each family member who will want to receive appointments (see "Telling Cozi about your family" in Getting Started).

To send an appointment via email:

In the calendar, click any appointment, and then click Send Appointment via email on the pop-up menu.

This can be particularly useful if one or more family members keeps a separate computer-based calendar. The email message will include the appointment as an attachment that can be opened and saved in another calendar product such as Microsoft Outlook or Apple Computer's iCal program.

To send a daily calendar to your mobile phone:

In the calendar, click Send to phone (located at the bottom of the page). On the next page, click Send next to the name of the family member who should receive the appointments.

You will receive all the appointments for that day as a text message. (Your mobile phone service provider may charge you for text messages.)

Printing

If you'd like to print out your family calendar, click Print at the bottom of the page, and then choose from the following options: Today, Tomorrow, Next 4 days, Next 7 days, Next 5 weeks, and Current View. To change what prints when you select Current View, use the Day-Month slider and the scroll bar to display the days you want before clicking Print.
