Getting started with Exceptions
The activity schedules feature in Cozi is a great way to keep track of related appointments for a school, team, club, or other activity.
Each type of schedule includes an area to enter routine appointments, and an area below that to specify the changes (like holidays, breaks, and other changes) to your normal routine.
Certain changes replace the appointments that are part of your normal routine in the Cozi calendar. These include all-day holidays and other all-day events, and appointments for early school dismissal or late start.
Other changes to a schedule supplement the routine appointments rather than replacing them, for example when a parent will attend a school activity like a field trip.
Exceptions that replace an appointment
Cozi uses the time range and the family members selected (but not the appointment description) to determine whether a change should replace or supplement the appointments that are part of your regular routine.
Specifically, if a change overlaps at least half of the duration of the routine appointment on a given day, and if the change is associated with all of the family members who attend the routine appointment, then it will replace the routine appointment in your calendar.
For example, let's say the Williams family has created a school schedule with a routine "School" appointment for their son Henry, which occurs on weekdays from 8:30 am - 2:30 pm.
Henry's mom, Ann, adds a change to the schedule for "School closed for Memorial Day." This is an all day appointment, and Ann chooses Henry from the list of family members for that appointment. Because this change completely overlaps the normal time of the routine school appointment, and because the same family members (in this case, just Henry) are associated with both, the normal School appointment will not appear on the Cozi calendar. "School closed for Memorial Day" will appear in its place.
